This Privacy Policy explains how CoachSmart ("we," "us," or "our") collects, uses, and shares information about you when you use the CoachSmart mobile application (the "App").

1. Information We Collect

We collect a variety of information to provide and improve our services. This includes both information you provide directly and information collected automatically.

Information You Provide:

• User Account Information: When you create an account, we collect your first name, last name, email address, and phone number. This information is used for account creation, login, and communication.

• Member Profile Information: The App is intended for adults to manage their own sports activities, or for parents to manage their children's activities. If you are using the app for yourself, your profile will contain your details. If you are a parent managing a child's activities, you may be required to enter information about your child(ren), such as their first name and last name. All account-level contact details, including phone numbers and email addresses, are collected from the adult account holder, never from a minor.

• User-Generated Content: The App allows you to upload content such as banner and crest images for clubs and teams, and a profile picture for members.

• Event Information: If you create or manage events, we collect data you enter, such as event title, meet time, opposition, location name, and event details. This information is visible to other members of your team/club.

Information Collected Automatically:

• Device and Usage Data: We collect information about how you access and use the App, including your FCM token and installation ID for push notifications, and other technical data to help us debug and improve the App. We also collect timestamps for when data is created to monitor app usage and functionality.

• Location Information: The location pin field indicates that event organizers can include location data. While we do not actively track your location in the background, we do store this information when provided by the user creating the event.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the App's functionality (e.g., managing clubs, teams, and events).

• Create and manage your user and member profiles.

• Broadcast important information to groups and teams via push notifications and optional SMS/email. The App does not support direct member-to-member messaging or group chat functionality.

• Display user-generated content like profile pictures and team banners.

• Analyze how the App is used to improve performance and user experience.

• Fulfill our legal obligations.

3. Third-Party Services and Data Sharing

We do not sell your personal data or share it with third parties for advertising or marketing purposes. We do, however, use a few essential third-party service providers to operate the App. These services act as data processors on our behalf and are contractually bound to handle your data securely and in accordance with our instructions and applicable privacy laws.

• Supabase: Our backend is built on Supabase, which provides a hosted PostgreSQL database and authentication service. Your user account information and all app-related data are stored securely on Supabase servers. As our data is processed within the EU, we adhere to the requirements of the General Data Protection Regulation (GDPR). For more information, please refer to the Supabase Privacy Policy.

• Google Firebase: We use Firebase Cloud Messaging to send push notifications to your device. This service requires your FCM token to function. • OneSignal: We use OneSignal to send push notifications and text messages as an alternative method for delivering key communications. When you opt-in to this service, your device ID and other identifiers may be processed by OneSignal to deliver these messages. You can manage your notification preferences within the App's settings. • Resend: We use Resend to send essential transactional emails related to your account and app usage, such as password reset links or important announcements. Your email address is shared with Resend solely for the purpose of delivering these emails. Resend does not use your information for its own purposes. 4. Data Security

We are committed to protecting your data. We use industry-standard security measures, such as encryption and secure access controls, to safeguard the information we collect. Our database is hosted by Supabase in the EU, providing an additional layer of data protection under GDPR. However, no method of transmission over the internet or electronic storage is 100% secure.

5. Your Rights and Choices

You have the right to access, correct, or delete your personal data.

• You can edit your profile information within the App.

• You can manage your notification and messaging preferences within the App's settings.

6. Children's Privacy

The CoachSmart app is not intended for use by children under the age of 13. While the App may store a child's name as provided by a parent or legal guardian for the purpose of team and event management, we do not knowingly collect any other personal information from children. All account creation, contact details (including phone numbers), and communications are strictly for adults. The App does not facilitate any direct communication between users, and children cannot create their own accounts or interact with the App outside of the parent's control.

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Effective Date" at the top.
